This Refund and Cancellation Policy explains the terms under which cancellations, refunds, and adjustments are handled for all travel packages and services offered through our platform.
1. General Policy Overview
All bookings for Umrah and Hajj packages are subject to availability, airline policies, hotel confirmations, and visa processing regulations. Once a booking is confirmed and payment is made, certain components become non-refundable due to third-party commitments.
These components may include airline tickets, hotel reservations, visa processing fees, and administrative service charges. Because these services are booked in advance, cancellation rules are strictly applied to ensure fairness and operational stability.
2. Cancellation by Customer
If a customer wishes to cancel their Umrah or Hajj booking, the cancellation must be submitted in writing through email or WhatsApp. The refund eligibility depends on the timing of cancellation and the status of booked services.
Cancellation charges may apply as follows:
In most cases, cancellations made well before departure may be eligible for partial refund after deducting administrative and processing fees. However, cancellations made close to the departure date may result in limited or no refund due to non-recoverable costs.
- Early cancellation (30+ days before departure): Partial refund possible
- Mid-stage cancellation (15–30 days): Limited refund after deductions
- Late cancellation (less than 15 days): Non-refundable in most cases
3. Non-Refundable Services
Certain services are strictly non-refundable once confirmed. These include airline tickets, visa fees, hotel bookings, transportation arrangements, and government charges. These costs are paid directly to third-party providers and cannot be recovered once processed.
Even if the customer cancels the package, these expenses will be deducted from the total payment before any refund calculation is made.
4. Cancellation by Travel Proficient
In rare cases, if Travel Proficient is unable to provide the agreed services due to operational issues, insufficient group size, or external factors beyond control, customers will be offered either a full refund or an alternative travel date.
We always aim to ensure that every confirmed booking is fulfilled as planned. However, in unavoidable situations, customer satisfaction remains our priority.
5. Visa Rejection Policy
If a visa application for Umrah or Hajj is rejected by Saudi authorities, the refund will be processed after deducting applicable service and processing charges. Visa approval is solely under the discretion of Saudi immigration authorities, and we cannot guarantee approval.
Any expenses related to visa processing, documentation, or administrative work are non-refundable.
6. Flight and Airline Policy
Airline tickets are subject to airline rules and fare conditions. Most discounted or group tickets used in Umrah and Hajj packages are non-refundable or partially refundable with penalties. Any refund from airline cancellations depends on the airline’s policy, not Travel Proficient.
7. Hotel and Accommodation Policy
Hotels in Makkah and Madinah are booked in advance to ensure availability near Haram. Once confirmed, hotel bookings may be non-refundable or subject to cancellation charges based on the hotel’s policy and timing of cancellation.
8. Refund Processing Time
If a refund is approved, it will be processed within 7 to 21 business days depending on payment method and third-party confirmations. Refunds will be issued to the original payment method used at the time of booking.
Delays may occur due to bank processing times or external service providers.
9. Modification of Booking
Instead of cancellation, customers may request changes to their booking such as travel dates, hotel upgrades, or package adjustments. These changes are subject to availability and may involve additional charges depending on revised arrangements.
10. Force Majeure Conditions
Travel Proficient is not responsible for cancellations or disruptions caused by events beyond control such as natural disasters, government restrictions, airline strikes, pandemics, or changes in Saudi Hajj regulations.
In such cases, alternative arrangements or credit vouchers may be offered instead of refunds depending on the situation.
11. Customer Responsibility
Customers are responsible for ensuring that all travel documents, payments, and required information are submitted on time. Delays caused by incomplete documentation may affect refund eligibility in case of cancellation.
